Accounts and your bookkeeping

Accounts reads your bookkeeping’s SIE file on this device and shows how money from your payment providers moves through it, which account plays each part of a payout, its accounts, the year’s balances and every entry. Your bookkeeping program keeps the books, as before.

What reaches the internet when you use Perso, and who sees it, is listed on What reaches the internet.

Bring in your SIE file

SIE is the standard file Swedish bookkeeping programs export and import.

In Fortnox, click your company’s name at the top, choose Export, pick SIE 4 and the financial year, and save the file. Other bookkeeping programs export SIE too.

Then open Accounts in Perso and choose Bring in a SIE file, or drop the file on its window. Accounts takes .se, .si and .sie files, one at a time, up to 50 MB.

Accounts reads the file before it keeps anything, and turns away a file that is not SIE. A new file goes to Incoming in Files, as anything you add does; bring in the same file again and Accounts opens the copy already in Files.

A SIE file in Files opens in Accounts too, and only there: it is written in a character set the Editor does not read.

Accounts reads the file on this device. With search set up and your own Berget key on, lines of an .se or .sie file that search finds for a question go to Berget with it, as from any file.

What Accounts shows

At the top: the company and its organisation number, the financial year, and which program exported the file, and when. Then three views:

  • Overview: what Perso read in your books, and which account in your chart plays each part of a payout. A file opens on it.
  • Accounts: the balance sheet, with each account’s opening and closing balance, then profit and loss, with each account’s result for the year. It lists the accounts in use this year; All accounts shows the whole chart.
  • Entries: every entry with its number, date, text, debit and credit. Open one to see its lines, or search by text, account, date or entry number. A long file shows 300 entries at a time.

The balances are the ones the file states: Accounts does not work them out from the entries.

On a phone, the accounts show only the closing balance and the year’s result, and each entry one amount. Its lines show a credit as a negative amount, as SIE writes it.

What Perso read in your books

The Overview shows what your entries say about your money. Each figure says where it comes from: a balance the file states, or the entries it adds up.

Choose the entries under a figure, or Show beside a finding, and Entries lists exactly those entries; Show all entries lists them all again.

It shows:

  • Each payment provider your entries name: the money booked into and out of its holding account, the costs booked in those entries and the VAT on purchases in them, and what was paid out to your bank.
  • Card and payment money left on an account, from the closing balance the file states, and how the year’s entries on it add up to that balance. For a year still open, that is the balance on the day the file was made.
  • Output VAT on your sales at 25, 12 and 6 %, output VAT of another kind such as the margin scheme, sales with no output VAT, and entries with reverse-charge VAT.

Accounts knows six payment providers by name, Shopify, Klarna, PayPal, Stripe, Swish and Zettle, and finds one only where an entry’s text names it.

Nothing in the Overview changes your file or makes an entry.

Which account does what

Under the findings, each part of a payout has the account in your chart that plays it: the bank account, a holding account and fees for each payment provider, sales and output VAT at each rate, and the rest.

Each says how sure Perso is, sure, likely or not sure, and whether that comes from your entries or only from your chart, with the reason in one line. Open one to see what each way of finding an account found, and what it left out.

Parts not every business has, such as 6 % sales, are listed apart when your entries do not show them, each with the account your chart has for it, or No account found.

How Perso finds them, under the list, sets how the accounts are found:

  • Learn from my books, which is recommended, or Start from BAS, the way tools such as A2X and Link My Books start, from suggested default accounts. Only my accountant’s template needs a template, which Accounts cannot read yet.
  • Switch each way of finding an account on or off, and put them in order: your entries, the account names, the tax-form codes and BAS’s numbers.
  • Add a payment provider your entries do not name. It adds that provider’s holding account and fees to the list, and nothing to what Perso read in your books.

These settings change only which accounts are shown. Nothing here changes your file or makes an entry.

When part of a file cannot be read

Accounts still opens the file, and lists what it could not read as the SIE format describes, each by its line number. For example:

  • An entry whose debits and credits do not balance, and by how much.
  • A date or an amount that cannot be read. An entry with such a date is kept without one; a line with such an amount is left out.
  • A checksum that does not match, which means the file has changed since it was written, or a file that ends before its checksum, which may mean it was cut short.
  • A file written in a different character set from the one it names. Accounts reads it as it is written.

Lines of a kind Accounts has no use for, such as the company’s address, are passed over, as the SIE format asks of every program that reads it.

Not shown yet: earlier years’ balances, cost centres, projects and monthly balances.

Show in Files, Download

Show in Files shows the file in its folder.

Download saves a copy of the file. In Perso installed on an iPhone, it offers Save, which opens the share sheet.

Coming next: entries prepared for Fortnox

Not in Perso yet: this is what Accounts is being built to do. You will bring in a payout file from your store or payment provider, and Accounts will prepare its entries for you to import into Fortnox, or any program that imports SIE.

You will confirm the account for each part of a payout on one screen, and answer where Perso is not sure; nothing will be exported while a question is open.

Your own choice, which always wins, and your accountant’s template will start to find accounts, and more ways will join them:

  • Rules you write, and corrections you choose to keep.
  • An AI suggestion, if you switch it on, always marked as one.

Your booking rules will be kept as a dated file your accountant can read.

By default, each payout will become one entry, through a holding account for its provider. You will be able to book per day, per week or per order instead, and to set the VAT on each provider’s fees.

Before exporting, Accounts will check that every entry balances, the VAT adds up, each holding account comes back to zero, each payout matches its deposit on your bank statement, and nothing is exported twice. Then you will get one SIE file.

Later, the Accounts bot will run the checks an accountant runs every month, and put what it finds in To do, with the rule behind each finding.
